Connect a family with a coach
A coach invitation creates a support connection only after the family has reviewed it and agreed. Families can see who is inviting them and what access is requested before accepting.
Who this guide is for
- Coaches inviting a new family.
- Families accepting, declining or ending a coach connection.
For coaches: invite a family
Open the Invitations area from Families in the coach portal, then choose how to invite the family:
- Email invitation: enter the family's email address.
- Share code: enter your own code or let the app generate one to share.
You can add an expiry date. You can also choose a questionnaire to send, use the current default, or send the invitation without one. The questions attached to an individual email invitation stay as they were when the invitation was created, even if the original template changes later.
After creating invitations, use the list to search and check whether each one is pending, accepted, declined, revoked or expired. A pending invitation can be revoked. An old or completed invitation cannot be reused; create a new one instead.
Invitation creation requires an eligible coach subscription. If billing is inactive, follow the subscription prompt before trying again.
For families: review an invitation
An invitation may appear as a card on Family Home, arrive by email or be shared as a code.
Before signing in, a code preview can show the coach and practice name, practice branding, expiry date and the type of access requested. It does not connect your account yet.
If you need to register or log in, use the options on the invitation screen. The app should return you to the same invitation afterwards.
Accept an invitation
- Review the coach and practice details.
- Read what the coach will be able to view or edit.
- Select the consent checkbox.
- Continue with the accept or redeem action.
After acceptance, the coach connection appears in your access information. Any questionnaire included with the invitation is added once.
Only one active coach connection is supported for a family. A new invitation cannot silently replace an existing coach.
If you already pay through the app store
Accepting a coach invitation does not cancel an Apple App Store or Google Play subscription. If an active store subscription is found, the app pauses and explains your choices. You can manage the store subscription first, keep the invitation pending, or acknowledge the warning and continue.
Decline an invitation
Choose the decline option on a pending invitation. Declining does not create coach access and does not remove your family account or care records.
Disconnect a coach
- Open the family access area.
- Choose Disconnect coach.
- Read the warning and confirm.
Coach access ends immediately. Your family account and logs stay with you. In most cases, coach-provided premium access continues for a seven-day grace period. Reconnecting later requires a fresh invitation and consent.
Things to know
- Expired, revoked and already-used invitations cannot be accepted.
- A share-code preview never reveals another family's information.
- A coach can access only the information covered by the accepted relationship and current permissions.
- Scheduling a questionnaire with an invitation does not complete it on the family's behalf.
If something goes wrong
- Code is invalid: check every character and ask the coach whether it has expired or been revoked.
- Accept is unavailable: select the consent checkbox first.
- Another coach is already connected: disconnect the existing coach only if you intend to end that relationship, then request a new invitation.
- Invitation disappears during a network error: refresh Family Home or the access area before asking for a duplicate.
- Coach cannot create invitations: the coach should check subscription and practice access in the coach portal.
